PhraseAlert privacy policy
PhraseAlert, by PPS Apps — a trading name of Pre Production Services (UK) Ltd (company no. 08749222). Last updated 1 November 2026.
In short
PhraseAlert has no accounts, adverts, analytics or tracking. Speech is recognised on your device and is never stored, recorded or sent anywhere. What you send to your other devices and to people you pair with is end-to-end encrypted: we can't read it.
Microphone and speech
While listening, PhraseAlert uses Apple's on-device speech recognition to spot the phrases you've chosen. Heard speech is never saved, shown as text or sent. Only your own phrase, its label and your chosen announcement ever go into an alert. The Advanced page's preview uses the microphone only to draw sound levels, kept in memory for a few seconds.
Your own iCloud
Your Projects, alerts, templates, settings, Notifications history, Trigger Log counts and Recently Deleted items are kept in your own iCloud account, so your devices stay in step. You choose how long history is kept (1, 7, 30 or 90 days) and can delete it at any time. We have no access to your iCloud.
Alerting your devices and people you pair with
Alerts and replies travel through Apple's iCloud, end-to-end encrypted; only the devices you send to can open them. On the same network your own devices can also pass alerts directly to each other (Relay), and your iPhone passes them to your Apple Watch. When you pair with someone by QR code, your device's ID (for example "iPhone 4F2A") and the name you've given it are shared once with that person; the names you give the people you're paired with stay private to you. People you alert can see when their alert reached them and when they read it. Photos you attach to an alert are stored encrypted and only the people and devices it goes to get the key.
Scheduled alerts
So a scheduled alert goes out on time even when none of your devices is running, PhraseAlert stores it in advance with Google Firebase (servers in London), already encrypted for each person or device it goes to, together with the times it should be sent. Firebase also holds an anonymous ID for your account and, for each of your devices, its push address and whether it receives alerts. Google can't read the alerts. They're removed from the server soon after their last time has passed, or after you change or delete the alert.
Sharing a Project
A shared Project link (ppsapps.com/pa…) carries the Project inside the link itself, after the "#", which is never sent to our website. It never includes your devices, the people you're paired with or photos.
Location
Location is optional and only used for areas. If you set an area for people you're paired with, your phone uses your location once to find its centre; the centre and size are shared with them, end-to-end encrypted. If someone sets an area for you, your phone checks on the device itself whether you're inside it (this needs "Always" permission so it works while PhraseAlert is closed) and only tells them "in", "away" or "not arrived" – never your location. You can turn location off at any time in Settings › PhraseAlert › Location.
Camera and photos
The camera is used to scan pairing codes, take photos for alerts and (on iPhone) flash its light. PhraseAlert can only add photos to your library when you tap Save; it can't read your library.
Children
PhraseAlert isn't aimed at children under 13.
